Job Description: Part-Time Office Admin Manager
Well Spouse® is a 501(c)(3) non-profit organization that supports spousal / partner caregivers. Our operations have expanded, and we seek to add a new member to our team. This role requires someone who takes initiative, can work independently, and can handle administrative & financial tasks, as well as customer service.
The Office is currently located in Freehold, New Jersey; we intend to go virtual soon. The person hired must be prepared to work online with the team during Office hours. You will be trained remotely to learn our systems (local to Freehold is an advantage, but not necessary). Initially, you will train as an Admin Assistant to learn our various systems; you will be expected to assume more responsibilities and grow into the managerial role in approximately 3-4 months.
Position Details
- Part-time, 15-20 hours per week; must be available 10:am-3:pm Eastern Time, 3 days per week.
- Salary commensurate with experience, minimum $20 per hour while training.
- Benefits not available; this is a part-time hourly position.
- Reports to WSA Executive Admin Director and the WSA Board President.
Primary Responsibilities
Maintain financial records and reporting using QuickBooks:
- Record Deposits/Checks and reconcile bank accounts monthly.
- Pay office invoices, including annual renewals (e.g. Insurance, Incorporation, Domain, etc.)
- Investigate credit card issues/problems through our on-line service provider.
Communicate with our members, and general inquiries:
- Respond to inquiries by email or phone.
- Coordinate outreach emails to members via Constant Contact (e.g. program info and our CCP map).
- Communicatewith our Support Group Leaders; provide Zoom account access and updates.
- Connect volunteers with participants in our mentorship program.
- Review media and research requests before forwarding to President; if approved, act on those requests. This may also include requests for Partnerships or Resource Listings.
Database Management:
- Process member receipts, update status, and maintain records in our CRM system. Update receipts and informative letters as necessary.
- Update website calendar for events, information, and resources; update member records.
- Update events in our CRM system to promote upcoming events on our website.
- Communicate with IT resources regarding CRM, or website issues/problems.
Assist the WSA Team in the execution of Programs & Campaigns:
- Help to plan, market, and execute programs (e.g. Annual Conference or webinar presentations). Process registrations, create receipts, reports, and assist with surveys.
- Help coordinate Fundraising Campaigns from start to final report.
Job Requirements: The ideal candidate will…
- Have a college degree and experience managing financial and/or administrative tasks at a small organization.
- Be proficient with MS Office programs including Word, Excel, and PowerPoint. Have experience with or be comfortable learning customer/donor management and communications software.
- Be an excellent communicator (written and verbal) across multiple audiences – our members, volunteers, partners, social media audiences, Board and staff, and donors.
- Be attentive to detail for accuracy, and willing to learn new things.
- Nonprofit organization and/or caregiving experience a plus.
